About the Unaccompanied Children’s Shelter

The Unaccompanied Children’s Shelter is home to boys and girls from newborn to age 18 through the Office of Refugee Resettlement (ORR). This program provides a safe setting for children during their first days in America until a permanent setting can be established for them.

About the Administrative Assistant Position

The Administrative Assistant supports the program by coordinating and executing office and administrative functions in order to assist with maintenance of the day to day facility changes.

Responsibilities Include:

  • Follows all Maryville’s policies and procedures as well as all standard operating procedures for designated work sites/programs.

  • Exhibits professional courtesy and tact when interacting with callers and visitors and when answering the telephones.

  • Utilizes computers and various applications such as database management, Excel, and word processing programs. If applicable.

  • Maintains files and records on site.

  • Takes meeting minutes as necessary.

  • Maintains adequate level of supplies and material needed for effective office operations.

  • Reviews invoices, settles discrepancies with suppliers and codes invoices to the proper department general ledger account. Establishes new supplier accounts when appropriate.

  • Monitors and updates biweekly payroll.

  • Performs other work related duties as assigned.

 Requirements:

  • High School diploma or GED; Bachelor degree preferred.
  • Must be at least 21 years of age.
  • Three years of related clerical experience preferred.

  • Bilingual Spanish/English preferred.

  • Strong verbal, organizational, interpersonal and time management skills.

  • Must possess the ability to communicate effectively, verbally and in writing.

  • Strong computer skills; familiarity at a minimum with Microsoft Word, Excel and Outlook. 

 Physical Demands:

  • Required to frequently sit, stand, bend, stoop and walk, sometimes for extended periods.

  • Required to lift/ move objects weighing in excess of 40 pounds.

  • Must have visual, hearing, and learning capabilities sufficient to perform the essential functions defined above. 

 Environment and Scheduling:

  • Work is performed in designated administrative office settings and group home settings.

  • Duties may involve contact with youth and family who may be threatening, aggressive and/or under the influence of drugs or alcohol.

  • Must be flexible and available to work overtime when necessary. 

  • Must be flexible to work at both Des Plaines and Bartlett locations.
