About the Administrative Assistant Position

Supporting the programs, the individual in the Administrative Assistant position will coordinate and execute office/administrative functions in order to assist with maintenance of the day to day facility changes.

Essential Functions:

  • Exhibits professional courtesy and tact when interacting with callers and visitors.
  • Answers telephone; answers questions within bounds of delegated authority.
  • Collects Medicaid documentation daily. Assures Medicaid documentation on each child is accounted for. Enters required data into computer system daily if applicable.
  • Forward Medicaid documentation to Data Entry Technician at Des Plaines Campus. If applicable.
  • Maintains files and records on site.
  • Sets priorities and completes assigned task(s) by required deadlines.
  • Opens, sorts and distributes mail.
  • Maintains adequate level of supplies and material needed for effective office operations.
  • Schedule appointments, make reservations and maintains calendar.
  • Review invoices, settle discrepancies with suppliers and code invoices to the proper department general ledger account. Establish new supplier accounts if separate from Des Plaines Campus accounts.
  • Support in processing biweekly payroll.
  • Participates in continued performance quality improvement
  • Other duties as assigned

Position Requirements

Minimum Requirements

  • High School diploma or GED; Bachelor degree preferred.
  • Three years of related clerical experience preferred
  • Strong verbal, organizational, interpersonal and time management skills.
  • Must possess the ability to communicate effectively, verbally and in writing.
  • Strong computer skills; familiarity with Microsoft Office, Lotus and e-mail operations.
  • Minimum of 21 years of age.
  • Must possess a valid Illinois Driver's License.

Physical Demands:

  • Required to frequently sit, stand, bend, stoop and walk, sometimes for extended periods.
  • Required to lift/ move objects weighing in excess of 20 pounds.
  • Must have visual, hearing, and learning capabilities sufficient to perform the essential functions defined above.
  • Work is performed in designated administrative office settings.
  • Duties may involve contact with youth who may be threatening, aggressive and/or under the influence of drugs or alcohol.
  • Must be flexible and available to work additional hours when necessary.
  • May be scheduled to work on weekends and/or holidays
